Future Flow AI Technologies ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered interview assessment platform and related services (collectively, the "Service").
Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access the Service.
2. Information We Collect
2.1 Personal Information
We collect information you provide directly to us, such as when you create an account, use our Service, or contact us for support:
- Name, email address, and contact information
- Company information and job title
- Account credentials and profile information
- Payment and billing information
- Communications with us (emails, support tickets)
2.2 Usage Information
We automatically collect certain information about your use of our Service:
- Device information (IP address, browser type, operating system)
- Usage patterns and preferences
- Log data and analytics information
- Cookies and similar tracking technologies
2.3 Assessment Data
We collect information related to your use of our assessment features, including interview responses, evaluation data, and performance metrics. This data is used to provide our Service and improve our AI algorithms.
2.4 Google Account and Workspace Data
If you choose to sign in with Google or connect Google Calendar, we access certain information from your Google account only after you grant permission on Google's OAuth consent screen. We use this data solely to provide and improve FeedbackAI features you request.
Google Sign-In (optional)
When you register or log in with Google, we receive basic profile information such as your name, email address, and profile picture to create and secure your FeedbackAI account. We do not access your Google Calendar or Drive through sign-in alone.
Google Calendar integration (optional)
If you connect Google Calendar in Settings, we may access and use Google Calendar data to:
- Create, update, and delete interview events on your calendar when you schedule rounds
- Attach Google Meet conference links to those events
- Display your upcoming interview schedule inside FeedbackAI
Google Meet recordings (optional)
If you enable Meet recording for an interview, recordings are stored in FeedbackAI's secure AWS S3 storage (not Google Drive). We do not request Google Drive access through OAuth. Authorized recruiters and candidates can review saved recordings within the Service.
Google API Services — Limited Use
FeedbackAI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, sell Google user data, or use it for purposes unrelated to providing or improving user-facing calendar, meeting, and hiring features within FeedbackAI.
You can revoke FeedbackAI's access at any time from your Google Account permissions or by disconnecting Google Calendar in FeedbackAI Settings.
3. How We Use Your Information
We use the information we collect for various purposes, including:
Service Provision

- • Schedule interviews and sync Google Calendar when you connect it
- • Store and serve Google Meet recordings you choose to enable (AWS S3)

4. Information Sharing and Disclosure
We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except in the following circumstances:
4.1 Service Providers
We may share your information with trusted third-party service providers who assist us in operating our Service, such as cloud hosting providers, payment processors, and analytics services.

4.2 Legal Requirements
We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).
4.3 Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
4.4 Consent
We may share your information with your explicit consent or at your direction.
4.5 Subprocessors and Service Providers
We use trusted third-party service providers to operate our platform. These providers process personal data on our behalf and are contractually bound to protect your information. Our current subprocessors include:

We may update this list as we add or change service providers. For employer customers subject to a Data Processing Agreement, we provide advance notice of subprocessor changes as described in that agreement.
5. Data Security
We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.
Security Measures Include:
- End-to-end encryption for data transmission
- Secure data storage with encryption at rest
- Regular security audits and assessments
- Access controls and authentication systems
- Employee training on data protection
- Incident response procedures
- Regular software updates and patches
- Monitoring and logging systems
Important: While we strive to protect your personal information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention
We retain your personal information for as long as necessary to provide our Service and fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.
Retention Periods:
- • Account information: duration of account + 90 days after termination
- • Resume and assessment data: duration of employer engagement + 90 days after termination
- • Optional interview recordings: same as assessment data, or deleted upon request
- • Google OAuth tokens: until you disconnect Google Calendar or revoke access in your Google Account
- • Server and security logs: up to 90 days
- • Communication records: 3 years from last contact (support and billing)
Employer customers may request earlier deletion in accordance with our Data Processing Agreement.
7. Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal information:

Withdraw consent for data processing where applicable, including revoking Google API access via Settings or your Google Account

9. International Data Transfers
Some of our subprocessors are located outside your country of residence, including in the United States. Your information may be transferred to and processed in countries other than your own. Where required by applicable law (including UK GDPR and EU GDPR), we implement appropriate safeguards such as Standard Contractual Clauses or the UK International Data Transfer Agreement to protect personal data transferred internationally.
10. Children's Privacy
Our Service is not intended for children under 16 years of age. We do not knowingly collect personal information from children under 16. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. We encourage you to review this Privacy Policy periodically for any changes.
